Purpose and Summary

The Order Administrator provides internal support to the sales process from order creation to final fulfillment. The Order Administrator will focus on internal communication and collaboration with all impacted Avio-Diepen departments. This individual must have the ability to anticipate the needs of internal and external customers, and the willingness to meet the customer’s needs.

  • Sales Order administration of parts for allocated customers including order acknowledgement and invoicing
  • Supports Sales and Customer Service departments
  • Works collaboratively with material management, customer service, sales and logistics to coordinate timely delivery of aircraft parts
  • Ensures timely distribution by monitoring and control of the fulfillment process of parts from sales order to delivery


  • Work planning: determine priorities, order entry, order fulfillment and expediting
  • Exercises ownership and execution of the sales order process beginning with receipt of the customer purchase order 
  • Proactively follow up on customer related purchase orders with internal departments
  • Participate actively in meetings/ projects regarding the sales department and/or the Avio-Diepen organization
  • Participate in account team meetings (if applicable) 
  • Complete open order reports generated by customers
  • Monitor status of open orders of parts (overdue purchase orders, material reject, unverified receipts)
  • Monitor customer portals for new purchase orders, changes and shipping labels 
  • Monitor possible bottlenecks and work with internal departments to resolve them
  • Communicate changes on orders of parts to Customer Service/ Inside Sales and customers
  • Reschedule orders of parts after credit hold, rejection or stock shortage

Requirements for Success

  • A high school diploma or equivalent and 5 years in a professional environment (aviation industry a plus) 
  • Bachelor’s or Associates level degree, additional college courses or other professional training in business strongly preferred 
  • Experience in order fulfilment and advanced data entry skills 
  • Proactive and resourceful, critical thinking skills to identify problems, the root cause and develop solutions
  • Detail oriented with strong organization and time management skills 
  • Must be self motivated and able to proactively manage time to meet deadlines and commitments 
  • Proficient in MS Office Suite applications and one or more standard ERP programs
  • Strong oral, written and interpersonal communication skills sufficient to write business correspondence and to converse professionally with internal and external customers 
  • Customer service orientated, quality minded and results driven
  • Stress tolerance including the ability to adapt well in a dynamic and changing environment 
  • High volume parts distribution and/ or strong knowledge of the aftermarket aviation industry highly desirable

Physical requirements

Typical physical abilities required of an administrative/office role such as sitting for extended periods of time at a computer workstation; using hands and motor skills on a frequent basis for functions such as keyboard data entry input; clear vision to read and interpret documents, reports, and information on a computer screen, etc.

On occasion, may also require sufficient physical abilities for activities such as handling office supplies, setting up for meetings, filing documents, etc.  Such demands may include grasping, pushing, pulling, reaching, standing, sitting, squatting, bending, walking, climbing stairs and lifting anywhere from 5 to 20 pounds.
